Processing Certificates with Clarity

Clarity turns a batch of calibration certificates into review-ready calibration records. You upload one or more certificates, Clarity extracts the calibration data and matches each certificate to a gage in your inventory, and you review and approve the results before they are saved. This article covers uploading certificates, monitoring processing, and reviewing and approving the extracted records.

Before using Clarity, an administrator must enable it and configure field extraction. See Setting Up Clarity.

 

Uploading Certificates

  1. Go to Clarity (found on the left sidebar).
  2. Click Inbox.
  3. Click Add.
  4. Select the certificate files you would like to process. You can select multiple files at once, and each file should contain one certificate.
  5. Click Add.

Uploaded certificates are added to the Clarity Inbox for processing. Credits are consumed as each certificate is processed, based on its page count.

 

Monitoring Processing Status

Each certificate moves through the stages on the Inbox screen, where its current stage is shown:

  • Pending: The certificate is waiting to be processed.
  • AI Working: Clarity is reading the certificate and extracting data.
  • Ready for You: Extraction is complete and the certificate is waiting for your review.
  • Completed: You have approved the certificate and its calibration record has been saved.
  • Needs Attention: The certificate could not be processed and requires your input.

Processing runs in the background, so you can leave the screen and return later.

 

Reviewing and Approving Inbox Results

When a certificate is Ready for Review, open it to check Clarity’s results.

  1. On the Inbox screen, select a certificate with the Ready for You status.
  2. The review screen displays the extracted calibration fields alongside the source certificate, so you can confirm each value against the original document.
  3. Review the gage match. Clarity suggests the gage in your inventory that the certificate belongs to, along with alternative candidates.
    • If the suggested match is correct, leave it as is.
    • If it is not correct, select the correct gage from the candidate list, or search your inventory for the right record, or create a brand new gage.
  4. Review the extracted fields and correct any values as needed. Edits you make here are saved to the calibration record.
  5. Approve the record using one of the following:
    • Approve & Next: Saves the calibration record and opens the next certificate awaiting review.
    • Approve & Close: Saves the calibration record and returns you to the Inbox.

Approved certificates are written to your calibration records the same way a manually entered calibration would be.

 

Viewing the Archive

Once an Inbox entry is approved, it moves to the Archive. The Archive is populated automatically. It gives you a running history of every record Clarity has completed.

  1. Go to Clarity (found on the left sidebar).
  2. Open the Archive tab.
  3. Browse or search the list of completed records. For each record you can see the source certificate, the extracted values, and the gage it was matched to.

The Archive reflects what Clarity processed; your calibration records remain the system of record for the gage itself. See Editing Calibration Records to make changes to a saved calibration.

 

Providing Feedback

As you review, you can indicate whether Clarity’s extraction was accurate. Feedback is optional and does not change the record you are approving.
